Overview
Process templates define repeatable workflows with ordered stages. When you create a process for a client, Cloudclerk uses the template to generate the stages, assignments, and due dates automatically. Common examples include year-end accounts, VAT returns, and onboarding checklists.
Creating a Process Template
- 1Open Settings → Process Templates
- 2Click New Template
- 3Enter a Name and optional Description for the template
- 4Click Create Template — you are taken to the template detail page
Adding Stages
On the template detail page, you build your workflow by adding stages in sequence.
- 1Click Add Stage
- 2Enter the stage Name and choose a Type (Standard, Document Request, Email, or Portal)
- 3Optionally assign the stage to a specific team member or a client manager role (e.g. Tax Manager). When assigned to a role, the system resolves the correct person per client automatically
- 4Set a Due Date offset if needed — either fixed from the process start date or rolling from the previous stage
- 5Click Add Stage
Drag the grip handle on any stage to reorder the sequence.
Template settings
On the template detail page you can also configure:
- Default Due Days — how many days after initiation the process is due
- Recurring — toggle on to repeat the process automatically, with a configurable interval in months
- Portal Visible — whether clients can see this process in their portal
Archiving a Template
If a template is no longer needed, you can archive it from the actions menu on the templates list. Archived templates are hidden from new process creation but do not affect existing processes.
Assign stages to client manager roles (e.g. Accounts Manager, Tax Manager) rather than specific people. This means the correct team member is assigned automatically based on each client's manager assignments.
