Overview
The Signing tab on a client record lists every document that has been sent to the client's contacts for digital signature. You can track the status of each request and view signed documents once completed.
Viewing Signing Requests
Open a client and select the Signing tab. The table shows each request with the document name, contact, status, who sent it, when it was created, and when it was signed.
You can search requests by document name using the search field and filter by status using the Status dropdown. Signing request statuses are:
- Pending — sent but not yet opened
- Viewed — opened by the contact but not yet signed
- Signed — the contact has signed the document
- Declined — the contact has declined to sign (hover over the badge to see their reason)
- Cancelled — the request was cancelled by staff
Viewing a Signing Request
Click any row to open the signing request detail page. The detail page shows:
- Document card with a Download button for the original file
- Message card (if a message was included when the request was sent)
- Signature card (once signed) displaying the signature image, signer name, signature method, and signing date
- Declined card (if declined) showing the contact's reason
- A Details sidebar listing the client, contact, who sent the request, creation date, expiry date, and signing date
Downloading a Signed Document
When a signing request has the status Signed, a Download Signed Document button appears in the page header. Click it to download the PDF certificate with the embedded signature.
Cancelling a Request
If a request is still Pending or Viewed, click Cancel in the page header to cancel it. Cancelled requests cannot be reopened.
Bulk Actions
Select multiple requests using the checkboxes, then use the toolbar:
- Cancel — cancel all selected requests that are still pending or viewed
- Delete — permanently remove selected requests (hold ⇧ and click to skip the confirmation dialog)
Signing requests are created from the Signing Requests page or from a client's documents.
