Overview
The Processes tab on a client record shows every workflow that has been started for that client. Each process is created from a template, progresses through a sequence of stages, and tracks completion as a percentage.
Viewing Processes
Open a client and select the Processes tab. The table shows each process with its name, status, progress bar, due date, and creation date. You can search by name and filter by status using the Status dropdown above the table.
Process statuses are Not Started, In Progress, Completed, and Cancelled.
Creating a Process
- 1Open the client and go to the Processes tab
- 2Click New Process in the page header
- 3Select a Template from the dropdown — only active (non-archived) templates appear
- 4The Client field is pre-filled with the current client
- 5Set a Start Date (defaults to today)
- 6Optionally enter a Name Override to replace the template name
- 7Click Create Process
Process templates are managed in Settings → Process Templates. If the template dropdown is empty, ask an administrator to create one first.
Working with Stages
Click any process row to open its detail page. The detail page shows a progress bar at the top and a two-column layout: the stage timeline on the left and the activity feed on the right.
Each stage displays its name, type badge (Standard, Document Request, Email, or Portal), status, assignee, and due date.
Completing and Skipping Stages
On an active stage, you can:
- Click Complete to mark the stage as done and activate the next stage
- Click Skip to bypass the stage (only available if the stage is marked as skippable)
- Click Unskip on a skipped stage to reinstate it
Changing the Assignee
Click Assignee on an active stage, choose a team member from the dropdown, and the assignment updates immediately.
Changing the Due Date
Click Due Date on an active stage, pick a new date, and click Save.
Bulk Actions
Select multiple processes using the checkboxes, then use the toolbar:
- Change Status — set all selected processes to a new status
- Cancel — cancel all selected processes that are not already completed or cancelled
- Delete — permanently remove selected processes (hold ⇧ and click to skip the confirmation dialog)
