Overview
The Invoices tab on a client detail page shows all invoices and credit notes for that client. You can create new invoices, filter by status or type, bulk-delete drafts, and — if your organisation has a Xero connection — see the client's outstanding balance from Xero alongside Cloudclerk data.
Viewing Client Invoices
- 1Open a client from the Clients list in the sidebar.
- 2Click the Invoices tab in the client's navigation.
- 3The invoice table loads, sorted by issue date (newest first), with columns for Invoice Number, Type, Issue Date, Due Date, Total, Amount Due, Status, and Provider.
Click any row to open the full invoice detail page, where you can edit line items, record payments, send, or void the invoice.
Creating an Invoice
- 1On the client's Invoices tab, click Create Invoice in the top-right corner.
- 2You are taken to the invoice creation page with the client pre-selected.
- 3Add line items, set the issue and due dates, and complete the invoice details.
Draft invoices show the word "Draft" in italics where the invoice number would normally appear. An invoice number is assigned automatically when the invoice is finalised.
Filtering and Searching
Use the toolbar above the table to narrow results:
- Search — type in the search box to filter by invoice number.
- Status — filter by one or more statuses: Draft, Sent, Partially Paid, Paid, Overdue, or Void.
- Type — filter by Invoice or Credit Note.
You can save your current filters and column layout as a named table view using the view selector.
Invoice Statuses
Invoices follow a six-state lifecycle:
- Draft — the invoice has not been sent.
- Sent — the invoice has been issued to the client.
- Partially Paid — one or more payments have been recorded but the full amount is not yet settled.
- Paid — the invoice is fully settled.
- Overdue — the due date has passed without full payment.
- Void — the invoice has been voided with a reason. Hover over a voided status badge to see the void reason.
Bulk Deleting Draft Invoices
- 1Select one or more invoices using the row checkboxes.
- 2Click Delete in the bulk action bar. Only draft invoices can be deleted; if your selection includes non-draft invoices, the count adjusts to show how many drafts will be affected.
- 3Confirm the deletion in the dialog, or hold Shift while clicking to skip confirmation.
Invoice Balance Card
On the client's Overview tab, the Invoice Balance card shows two key figures:
- Outstanding — the total amount currently owed.
- Overdue — the portion that is past its due date (highlighted in red if greater than zero).
Below these figures, an aging chart breaks down outstanding amounts into five buckets: Current, 1-30 days, 31-60 days, 61-90 days, and 90+ days.
Xero Balance
If your organisation has a connected Xero account and the client is linked to a Xero contact, the card displays data from both Cloudclerk and Xero side by side with a chart legend. A View on Xero button links directly to the contact in Xero.
To link a client to their Xero contact, click the Connect to Xero button in the client's page header.
Exporting Invoice Data
The table supports CSV export. Click the export button in the table toolbar to download the currently visible invoices.
