Overview
When you open a client record, the overview tab gives you a single-page summary of everything happening with that client: key metrics, active tasks, upcoming deadlines, pending actions, contacts, addresses, and financial charts.
Opening a Client
- 1Navigate to Clients in the sidebar.
- 2Click a client's name in the list (or their card in card view).
- 3The overview tab loads by default.
Summary Cards
Five KPI cards appear across the top of the page:
- Contacts — total number of contacts for this client
- Documents — total document count
- Open Tasks — combined count of tasks with status Not Started or In Progress
- Overdue Tasks — tasks past their due date (highlighted in red when greater than zero)
- Outstanding — total outstanding invoice balance (highlighted in amber when greater than zero)
Click any card to jump to the relevant tab for that client.
Client Details Card
Below the summary cards, the Client Details card displays the client's business type, source, manager, company number, specialist manager roles (Accounts, Tax, VAT, Payroll, PAYE, Audit), and how long the record has existed. If a risk assessment or proposal is linked, their current status also appears here.
Click the Edit button in the card header to open the client edit form.
Click the company number to jump directly to the Companies House tab for that client.
Upcoming Deadlines
The Upcoming Deadlines card lists HMRC obligations and active process deadlines sorted by urgency — overdue items appear first, followed by the nearest due dates. Each item shows a badge indicating whether it is an HMRC or Process deadline. Click any row to navigate to the relevant HMRC tab or process detail page. Click View HMRC to go to the full HMRC tab.
Active Tasks
The Active Tasks card shows up to eight open tasks sorted by urgency. Each row displays the task title, due date, status, and priority. Overdue due dates appear in red and approaching due dates in amber. Click any row to open that task. Click View all to go to the client's tasks tab.
Revenue Chart
The Revenue chart shows invoiced and paid amounts per month as a grouped bar chart. Use the 3m, 6m, and 12m buttons to change the time range.
Invoice Balance Card
The Invoice Balance card in the right column shows the client's outstanding and overdue totals, with an aging breakdown chart (Current, 1-30 days, 31-60 days, 61-90 days, 90+ days). If the client is linked to Xero, the chart compares Cloudclerk and Xero balances side by side, and a View on Xero button links to the contact in Xero.
Pending Actions
The Pending Actions card groups items that need attention into categories:
- Finance — overdue invoices and outstanding invoices awaiting payment
- Signatures — documents awaiting signature
- Documents — outstanding document requests
- HMRC — overdue HMRC obligations
Click any action to navigate to the relevant page. When everything is up to date, the card shows "Everything looks good".
Contacts and Addresses
The right column also shows a Contacts card listing all contacts with their email, phone, manager, and whether they are the primary contact. Click Add to create a new contact, or use the email, phone, and edit icons on each contact row.
Below contacts, the Addresses card displays the client's main, billing, and registered addresses. Use the Main, Billing, and Registered tabs to switch between them.
Quick Stats
At the bottom of the right column, the Quick Stats card shows total invoiced, total paid, outstanding balance, open tax periods, document count, last activity date, and portal user count.
