Overview
The HMRC tab on a client record lets you manage agent authorisations with HM Revenue and Customs and track the client's tax obligations. Before you can use this tab, your organisation must connect its HMRC Agent Services Account in Settings → Integrations.
Authorisation Cards
The tab displays a card for each HMRC service:
- MTD VAT — Making Tax Digital for VAT. Requires the client's VAT Registration Number (VRN).
- MTD ITSA — Making Tax Digital for Income Tax Self Assessment. Requires the client's Unique Taxpayer Reference (UTR).
- Corporation Tax — currently marked as Coming soon and cannot be activated yet.
Each card shows the current authorisation status:
- No badge — not yet requested
- Awaiting client acceptance — request sent, waiting for the client to accept via HMRC
- Authorised — active authorisation showing the authorised and expiry dates
- Expired — the authorisation has lapsed and needs to be renewed
- Rejected or Cancelled — the request was not accepted
Requesting an Authorisation
- 1Open the client and select the HMRC tab
- 2On the relevant service card, click Request Authorisation
- 3
In the dialog, enter the client's identifier:
- For MTD VAT: the VAT Registration Number
- For MTD ITSA: the Unique Taxpayer Reference
- 4
Enter the known fact:
- For MTD VAT: the client's VAT Registration Date (format YYYY-MM-DD)
- For MTD ITSA: the client's registered Postcode
- 5Click Send Request
The card changes to show Awaiting client acceptance with the date the request was sent. The client must accept the authorisation through their own HMRC account.
Double-check the identifier and known fact before sending. If these do not match HMRC's records, the authorisation request will be rejected.
Cancelling a Pending Request
While a request is still pending, click Cancel Request on the service card to withdraw it.
Re-authorising After Expiry
When an authorisation expires, the card displays an Expired badge with the expiry date. Click Re-authorise to open the authorisation dialog and send a new request.
Obligations Table
Below the authorisation cards, the Obligations section shows a table of the client's tax obligations synced from HMRC. Each row displays:
- Type — VAT or ITSA
- Period — the tax period (e.g. Q1 Jan-Mar 2026)
- Due Date — the filing deadline
- Status — Open, Fulfilled, or Overdue
- Days Left — a countdown to the due date, colour-coded: red if overdue, amber if due within 7 days
Use the search field to filter by period and the Type and Status dropdowns to narrow results.
Obligations sync automatically from HMRC each day. To trigger a manual sync, click Sync with HMRC in the page header. Obligations will only appear once an authorisation is active and HMRC has returned data.
