Overview
A credit note is a document that reduces the amount owed on an invoice. In Cloudclerk, credit notes are a type of invoice that references the original. You can create a credit note from scratch or generate one directly from a paid invoice's line items.
Creating a Credit Note from the Invoice List
- 1Navigate to Invoices and click the Create button in the header.
- 2Select Create Credit Note from the dropdown (or press 2 while the menu is open).

Fill in the form. The fields are the same as a standard invoice, with one addition:
- Original Invoice — select the invoice this credit note applies to. The dropdown shows invoices for the selected client that have a status of Sent, Partially Paid, or Paid.
- 4Add line items describing what is being credited, then click Create Credit Note (or press ⌘+↵).
Creating a Credit Note from an Invoice Detail Page
You can also create a credit note directly from the invoice it relates to.
For Sent, Overdue, or Partially Paid Invoices
- 1Open the invoice and click the three-dot menu in the top-right corner.
- 2Select Issue Credit Note. This takes you to the create credit note form with the client and original invoice pre-filled.
- 3Add line items and click Create Credit Note.
For Paid Invoices
- 1Open the paid invoice and click the three-dot menu.
- 2Select Issue Credit Note. A confirmation dialog appears showing that a credit note will be created from the invoice's line items.
- 3If the invoice is linked to Xero, you can tick Allocate to original invoice in Xero to automatically allocate the credit note in Xero.
- 4Click Create Credit Note to generate the credit note.
Issuing a Credit Note
Credit notes are created in Draft status. To issue one:
- 1Open the draft credit note from the invoice list.
- 2Click Send Credit Note in the top-right corner.
- 3In the Issue Credit Note dialog, click Issue Credit Note to confirm. No due date is required.
The credit note receives its own invoice number when issued. You can view the linked original invoice from the credit note's detail page.
Voiding a Credit Note
Credit notes can be voided in the same way as invoices. Open the credit note, click the three-dot menu, and select Void Credit Note. See Voiding Invoices for details.
