Overview
The Documents page provides a practice-wide view of every document stored in Cloudclerk. It uses a resizable two-pane layout: a folder tree on the left for navigating by client and folder, and a document table on the right showing files for your current selection. You can search, filter by category, right-click for quick actions, and use bulk operations on multiple files at once.
Opening the Documents Page
Select Documents in the sidebar. The page header reads "Documents" with the description "Store and organise documents across all client engagements."
The Folder Tree
The left panel is a collapsible file tree that lists every client and their folder hierarchy.
- All Documents — click the root entry to show every document across all clients.
- Recent — shows documents uploaded in the last seven days.
- Click a client name to expand it and reveal that client's folders. Click a folder to filter the table on the right.
- Use the search box at the top of the tree to filter folders by name.
- Tick Show archived to include archived folders in the tree.
Drag the divider between the tree and the table to resize the panels. The tree panel has a minimum width to keep it readable.
The Document Table
The right panel shows a breadcrumb trail reflecting your current selection, followed by the document table. Columns include:
- File Name — with a file type icon and inline rename support. Recently received documents (within 48 hours) display a "New" badge.
- Folder — shown when you are not already inside a specific folder.
- Category — Draft, Received, Sent, Approved, or Final.
- Visibility — Private or Shared, with an icon indicating the current state.
- Client — shown when viewing documents across all clients.
- Tax Period — the tax period assigned to the document, if any.
- Uploaded By — the staff member who uploaded the file.
- Size — file size in human-readable format.
- Uploaded — relative date (Today, Yesterday, 3 days ago, etc.).
Searching and Filtering
Use the Search documents... box above the table to filter by file name, client name, or description. Use the Category dropdown to narrow results to a specific category such as Draft, Received, Sent, Approved, or Final. A count of matching documents appears to the right of the filters.
Context Menu Actions
Right-click any document row to open a context menu with the following options:
- Download — downloads the file.
- Rename — activates an inline editor on the file name.
- Assign Tax Period — choose a tax period from the submenu, or select None to remove the assignment.
- Move to Folder — move the document into a different folder within the same client.
- Set Category — change the category to Draft, Received, Sent, Approved, or Final.
- Share with Client / Make Private — toggles whether the document is visible to clients through their portal. Sharing a Draft document automatically changes its category to Sent.
- Send for Signing — opens the signing request dialog for this document.
- Delete — permanently removes the document after confirmation.
Bulk Actions
Tick the checkbox on one or more rows to reveal the bulk action bar at the bottom of the page:
- Download — downloads all selected documents.
- Delete — deletes all selected documents after confirmation.
Clear your selection by clicking Clear in the bar.
Keyboard Shortcut
Press N from the Documents page to open the upload document dialog.
