Overview
Smart Upload uses AI to analyse uploaded documents and suggest the correct client, filing section, and file name. You can upload one or more files, let the system process them, and then review the AI suggestions before approving or rejecting each one. It is ideal for quickly triaging a batch of incoming documents.
Opening the Smart Upload Page
Select Smart Upload in the sidebar. The page header reads "Smart Upload" with the description "Upload documents for AI-powered classification and filing."
Uploading Files
- 1Click the Upload Files button in the page header to reveal the drop zone.
- 2Drag and drop files onto the dashed area, or click it to browse your computer. PDF, image, and office document formats are supported.
- 3The files are queued for AI processing. A toast notification confirms how many files have been queued.
You can upload multiple files at once. Each file is processed independently as a separate job.
The Jobs Table
Below the upload area, a table lists every Smart Upload job with the following columns:
- File Name — the original name of the uploaded file.
- Status — Processing, Needs Review, Filed, Rejected, or Failed.
- Client — the client the AI suggested (or the confirmed client after approval).
- Section — the filing section the AI suggested (e.g. 03. Bank Statements).
- Confidence — the AI's confidence level (High, Medium, or Low) with a percentage score.
- Uploaded By — the staff member who uploaded the file.
- Date — when the file was uploaded.
Status Filter Tabs
Use the tabs above the table to filter jobs by status: All, Processing, Needs Review, Filed, Rejected, or Failed. The table paginates when there are more than 25 results.
Reviewing a Job
- 1Click any row in the table to expand it and view the AI analysis.

The expanded section shows:
- AI Summary — a description of the document's contents and why the AI chose this classification.
- Issues — any problems the AI detected (shown with a warning icon).
- Error — if the job failed, the error message is displayed here.

For jobs with status Needs Review, three editable fields appear so you can confirm or adjust the AI suggestions:
- Client — select the correct client from the dropdown.
- Section — choose the appropriate filing section.
- File Name — update the file name if needed.

Choose one of two actions:
- Click Approve & File to accept the classification. The document is moved into the client's document store with the chosen section and file name.
- Click Reject to discard the upload. A confirmation dialog asks you to confirm before the file is rejected.
Jobs with high-confidence AI suggestions are often ready to approve without changes. Focus your attention on jobs marked as Needs Review.
