Overview
The Email page shows messages synced from your connected Microsoft 365 account. You can switch between your inbox and sent items, filter by filing status, and open any email to view its full content, file it against a client, or create a task from it.
Viewing Your Inbox
- 1Click Email in the sidebar to open the inbox
- 2The list shows each email's read status icon, From name, Subject with a snippet preview, an attachment indicator, a Filed badge (if applicable), and the Date received
- 3Click any row to open the email detail panel on the right
Unread emails appear with a highlighted background and bold sender name. The inbox syncs automatically every five minutes, and you can trigger a manual sync by clicking Sync in the top right.
Switching Between Inbox and Sent
Use the Inbox and Sent tabs at the top of the page. Switching resets any active filters and returns you to page one.
Filtering Emails
When viewing the inbox, you have two levels of filtering:
- Quick tabs — switch between All, Unfiled, and Filed using the tab bar on the right
- Table filters — use the search field to filter by sender, and the faceted filters for Status (Unread / Read), Attachments (Has attachments / No attachments), and Filed (Filed / Unfiled)
Combine the Unfiled tab with other filters to quickly find emails that still need to be filed against a client.
Reading an Email
- 1Click any row in the list to open the detail panel
- 2The panel shows the subject, sender, recipients (To and Cc), date, and whether the email has attachments or has been filed
- 3The full email body renders below the metadata
Client Suggestion
When you open an unfiled email, Cloudclerk automatically checks the sender's address against your client contacts. If a match is found, a Suggested client match banner appears showing the client name, contact name, and whether the match is based on an exact email address or domain. You can click the suggestion to pre-fill the filing dialog.
Filing an Email Against a Client
- 1Open the email detail panel and click File Against Client

In the dialog, fill in the following fields:
- Client (required) — search and select a client. If a suggestion was found, it is pre-selected
- Contact — optionally choose a specific contact. The primary contact is auto-selected when available
- Category — optionally choose a filing category: General, Tax, Accounts, Payroll, VAT, Company Secretarial, or Advisory
- Notes — add any optional notes about the email
- 3Click File Email to save
Once filed, the email displays a Filed badge in both the list and the detail panel, and the File Against Client button is no longer shown.
Bulk Actions
Select one or more emails using the checkboxes, then use the bulk action buttons that appear:
- Mark Read — marks selected emails as read
- Mark Unread — marks selected emails as unread
- Delete — deletes selected emails (hold Shift and click to skip the confirmation dialog)
Deleting emails is permanent and cannot be undone.
