Overview
Manual time records let you log work after the fact, rather than using a live timer. Each record captures a start time, end time, client, and optional task. Cloudclerk calculates the duration automatically from the times you enter, and the charge is derived from your billing role rate unless you override it.
Creating a Manual Time Record
- 1Click New Time Record in the top-right corner of the Time Records page, or press N.
- 2Select a Client (required) from the searchable dropdown.
- 3Optionally select a Task linked to that client. The task list filters to tasks belonging to the chosen client and clears if you change the client.
- 4Set the Start Time and End Time using the date-time pickers. Both are required, and the end time must be after the start time. The form defaults to the past hour.
- 5Add an optional Description (up to 2,000 characters) explaining the work performed.
- 6Click Create Time Record or press ⌘+↵ to save.
You are redirected to the Time Records page on success.
Overriding the Charge
By default, the charge is calculated from your billing role's hourly rate multiplied by the duration. To override it:
- 1Toggle the Override charge switch on the time entry form.
- 2Enter a custom Hourly Rate in pounds, a fixed Charge Amount, or both.
- 3Submit the form as normal. The overridden values take precedence over the default calculation.
If you do not have a billing role assigned, ask an admin to set one up under Settings → Roles & Rates. Without a billing role, the charge will not be calculated automatically.
Recording Time from a Task
You can also create a time record directly from a task's detail page:
- 1Open a task that has a client assigned.
- 2In the Time Tracking card, click Manual Entry.
- 3Fill in the start time, end time, and description, then save.
The client and task are pre-filled for you.
