Overview
Once you have built a proposal through the wizard, you send it to the client and then track its progress from the proposal detail page. This page shows the current status, a full summary of packages and documents, an activity timeline, and — when the client responds — their signature or decline reason.
Sending a Proposal
The final step of the proposal wizard sends the proposal. When you click Send Proposal, the system emails the proposal link and access code to the selected contact. The proposal status changes from Draft to Sent.
Each proposal gets a unique URL with an access code. Clients can view and respond to the proposal through this link without needing a portal account. If the client has portal access, the proposal also appears in their portal.
Proposal Statuses
A proposal moves through the following statuses:
- Draft — the proposal is being built and has not been sent
- Sent — the proposal has been emailed to the client
- Viewed — the client has opened the proposal link
- Accepted — the client has accepted and signed the proposal
- Declined — the client has declined the proposal, optionally with a reason
- Superseded — a newer version of the proposal has replaced this one
Proposal Detail Page
Click any proposal row in the list to open its detail page. The header shows the client name, the contact name, a status badge, and an actions menu.
Status and Meta Card
The top card displays:
- Status — the current status badge
- Created by — the staff member who created the proposal
- Contact Email — the contact's email address
- Total Value — the total value of all packages, with the discount shown as a strikethrough if applicable
- Sent — when the proposal was sent (shown after sending)
- Expires — the expiry date (shown after sending)
- Access Code — the unique code the client uses to view the proposal
Tabs
Three tabs organise the remaining detail:
- Packages — lists every package with its services, quotes, payment terms, quantities, and line totals. The package selected by the client is highlighted with a border and a "Selected" badge. If a discount is applied, it appears below the packages
- Documents — a searchable table of attached documents showing their type (Cover Letter, Engagement Letter, or Terms and Conditions), title, and enabled/disabled status
- Activity — a timeline of events: Created, Sent, Viewed, and Accepted or Declined, each with its date
Accepted Proposals
When a client accepts a proposal, their e-signature appears at the bottom of the status card. This section shows:
- The signature image (drawn or typed by the client)
- Signed by — the signer's name
- Date — when the proposal was accepted
A PDF certificate is generated and stored, recording the signature image, signer name, IP address, and timestamp.
Declined Proposals
If a client declines a proposal, a red-bordered card appears below the tabs showing the Decline Reason (or "No reason provided" if the client did not give one) and the date the proposal was declined.
You can hover over a Declined status badge on the proposals list page to see the decline reason at a glance.
Superseding a Proposal
If you need to revise a proposal that has already been sent or viewed, you can supersede it rather than starting from scratch.
- 1Open the proposal detail page.
- 2Click the actions menu (three dots icon) in the header and select Supersede.
- 3Confirm the action in the dialog. The current proposal is marked as Superseded and the client can no longer respond to it.
- 4A new draft proposal is created as a copy. You are redirected to the new proposal, where you can make changes and send it.
The supersede option is only available for proposals with a status of Sent or Viewed. Accepted, declined, and draft proposals cannot be superseded.
Duplicating a Proposal
To reuse a proposal as a starting point for a different client or engagement, open the actions menu and select Duplicate. This opens the proposal wizard pre-filled with the original proposal's details.
